Frontier Property Management Limited (“Frontier”, “we”, “us” or “our”) collects and holds personal information provided through frontierproperties.co.nz.
This policy explains how we handle website enquiries and related communications under New Zealand’s Privacy Act 2020. Separate privacy information may apply when you use our apps, apply for a tenancy or enter into a property management agreement.
1. Information we collect
Depending on your enquiry, we collect your first and last name, phone number, email address, property location and any message you provide. We also record the enquiry type, relevant property listing, submission time, privacy notice version and follow-up communications.
Please provide only information relevant to your enquiry. Do not include identity documents, bank details, passwords or unnecessary information about tenants or other people.
If we collect personal information about you from someone else, we will provide any notification required by applicable privacy law.
2. Why we collect it
We use this information to respond to enquiries, arrange and prepare rental appraisals, discuss property management services, answer property or partnership questions, and manage the resulting correspondence.
We also use relevant technical information to operate the website, investigate faults and prevent spam or misuse.
Submitting an enquiry is not consent to unrelated promotional messages.
3. Your choices
You choose whether to contact us. Fields marked with an asterisk are required to submit the relevant online form. Without those details, we may be unable to respond or arrange the service you requested.
You can contact us directly to discuss another way of making your enquiry.
4. Who can receive your information
Information is available to authorised Frontier personnel who need it to handle your enquiry or administer our services.
Providers supporting our website, hosting, communications and IT systems may process information on our behalf where necessary. We require appropriate confidentiality and privacy safeguards for that work.
We may otherwise share information where you authorise us to do so, or where disclosure is required or permitted by law. We do not make website enquiries publicly visible.
5. Overseas processing
Some service providers may process or store information outside New Zealand. We remain responsible for information held by providers acting on our behalf.
Where New Zealand’s overseas disclosure rules apply, we must establish an appropriate legal basis, such as comparable privacy safeguards, before making the disclosure. Submitting this form is not blanket permission to send your information anywhere without protection.
6. Website technology and external services
Our hosting and security services may process technical information such as IP addresses, browser details, requested pages and access times. These services may use cookies or similar technologies for security and website operation.
When an embedded Google Map loads, your browser connects to Google. Google may receive your IP address and browser information and may use cookies under its own privacy policy.
Links to social media, app stores and other websites lead to services with their own privacy practices. Your browser settings can restrict cookies, although some website features may be affected.
7. Security and retention
We take reasonable measures to protect personal information from unauthorised access, loss, misuse and disclosure. No website or transmission method can guarantee complete security.
We retain information only while it is needed for the enquiry, a resulting service relationship or another lawful purpose, including applicable record-keeping obligations. Information that is no longer needed should be securely deleted or anonymised. Different records may require different retention periods.
8. Access, correction and privacy concerns
You may ask to access personal information we hold about you and request corrections. We may need to verify your identity before releasing information.
We normally make a decision on an access or correction request within 20 working days. If a lawful extension is needed, we will explain this.
If we decline a requested correction, you may ask us to attach a statement recording the correction you sought.
Please contact us first with privacy questions or complaints. You may also contact the New Zealand Office of the Privacy Commissioner.
